When a unit opens, someone at the counter picks up the phone, works down the waitlist, leaves voicemails, sends texts, and updates notes. Multiply that by every move-out and it quietly eats hours every month that could go to tours, collections, or lock checks. Because the work is spread across small moments, almost nobody measures it.

This calculator multiplies your monthly move-outs by the prospects contacted per vacancy and the minutes spent per prospect, including follow-ups and notes, to get total staff hours. It then prices those hours at your loaded hourly cost, keeps whatever share of outreach you expect to still do by hand, and subtracts the cost of automation to show the net monthly saving. No hidden efficiency multipliers are applied.

How to use this tool

  1. Enter your typical monthly move-outs and how many waitlist prospects your staff contact for each vacancy.
  2. Estimate the minutes spent per prospect including follow-ups and notes, and the share of outreach that would still be manual after automation.
  3. Enter your loaded hourly staff cost and the monthly automation cost, then read the hours and payroll saved.

What the math assumes

  • Total hours equal move-outs multiplied by prospects contacted per vacancy multiplied by minutes per prospect, divided by 60.
  • Minutes per prospect should include every attempt, voicemail, text, and note for that prospect; the tool does not add follow-ups on its own.
  • The manual share you enter is the portion of outreach still done by hand after automation, and only the remainder counts as saved.
  • Labor cost uses the loaded hourly figure you enter, so include payroll taxes and benefits if you want a fully loaded number.
  • Annual figures multiply the monthly result by 12 and assume turnover is steady through the year.

Frequently asked questions

How do I estimate minutes per prospect?

Time a few real vacancies. Add up the calls, voicemails, texts, callbacks, and the note in your management system for each prospect, then average. The default of twelve minutes is only a placeholder; replace it with your own timing.

Why keep a manual share at all?

Automated alerts handle the first contact and reminders, but staff usually still answer replies, handle questions, and finalize the rental. Entering that share keeps the savings estimate honest.

Does time saved translate into a cash saving?

Only if you reduce hours or redirect them to work that produces revenue, such as tours and collections. The dollar figure shows the value of the time; how you capture it is up to you.
